1. General Information

We, Infomatrix (Kashif Najeeb), take the protection of your personal data very seriously. We treat your personal data confidentially and in accordance with the statutory data protection regulations of Switzerland (Federal Act on Data Protection, FADP) and, where applicable, the EU General Data Protection Regulation (GDPR).

This privacy policy explains how we collect, use, and protect your data when you visit our website or use our services.

3. Collection and Processing of Data

a) Access Data (Server Log Files)

When you visit our website, the hosting provider automatically collects and stores information in so-called server log files, which your browser automatically transmits to us. These are:

• IP address
• Date and time of the request
• Browser type and version
• Operating system used
• Referrer URL (the previously visited page)
• Hostname of the accessing computer

This data is not merged with other data sources. It is collected for the purpose of ensuring the secure and stable operation of the website.

b) Contact Form and Email

If you contact us via email or a contact form, the data you provide (e.g., name, email address, message content) will be stored by us for the purpose of processing the inquiry and in case of follow-up questions. We will not pass on this data without your consent.

c) Customer Account

If you have a customer account with us, we process your name, email address, phone number, company and the language of our emails, as well as the support requests, quotation requests, quotations, appointments and invoices linked to it, in order to provide our services. You can update your details in your account at any time. To protect your account, we keep a list of the devices you are signed in on, with the browser, the IP address and the approximate place derived from it (ipapi.co); you can see it in your account and sign out devices there.

d) Support Requests

If you open a support request via our website or by email, we store your request, our replies and any files you attach, in order to process it. For remote support, we use remote support software; before the first session, we send you its terms and conditions and privacy policy, which apply to the session.

e) Quotation Requests and Appointments

If you request a quotation or book an appointment, we process the details and documents you provide in order to prepare our offer and to hold the meeting. For online meetings, we send you the link of the video service we use; its privacy policy applies to the meeting. We manage quotations and invoices in our business software Odoo Community, which we run ourselves on the same server as this website, at IONOS in the United Kingdom. Your contact details are kept in sync between your customer account and Odoo.

f) Uploaded and Emailed Files

Pictures and PDF files that you upload or send us by email are automatically checked for inappropriate content using Google Cloud Vision (Google LLC); for this purpose, the files are transmitted to Google. Uploaded files that are not submitted are deleted after one hour.

g) AI Assistant

On our solutions page, our assistant "Matrix" uses Google Gemini (Google LLC) to suggest a suitable solution; the text you enter is transmitted to Google for this purpose. If you share your email address in the chat, we store the conversation in order to contact you.

h) Online Payments

Invoices and deposits can be paid online. Payments are processed by Stripe (Stripe Payments Europe Ltd., Ireland); you enter your payment details directly with Stripe, and we do not store them.

i) Email

Our emails are sent and received via the email provider Purelymail.

j) Website Check

With our free website check, you enter the address of a website. We load its publicly accessible pages and have them measured by Google PageSpeed Insights (Google LLC). To write the report, the address and the findings are sent to Google Gemini (Google LLC). We store the result so that it can be shown again on the same day, downloaded as a PDF, and so that we keep an overview of the websites checked. Your IP address is only used briefly to limit the number of checks per visitor; it is not stored. If you ask for the report by email, we store your email address together with the report in order to send it to you and to contact you once about it, as you agreed.

k) WhatsApp

You can also contact us on WhatsApp. This is voluntary: you can reach us by email, phone or the contact form instead. We only receive data once you send us a message. We then process your phone number, the name in your WhatsApp profile, your messages and any files, pictures, voice messages or locations you send, together with their times and delivery status, in order to answer your request and, if you are or become our customer, to carry out our work for you; for customers, we link the chat to their customer account.

If your message concerns a support request, we can add it, with its files, to a request (ticket) in our support system or open a new one for it. Our answers and updates about the request, such as its number or that it has been resolved, then come to you on WhatsApp or, if you prefer, by email. If you do not have a customer account yet, we create one for the request with your name and, if you give it to us, your email address, and link it to the chat.

For this, we use Meta's WhatsApp Business Platform. Meta (WhatsApp Ireland Limited) processes the messages on our behalf and keeps the files sent for a limited time; the messages are encrypted in transit, but not end-to-end between you and us. We store the chats and their files on the servers of our website. Independently of us, Meta processes data about your use of WhatsApp as its own controller, under the WhatsApp privacy policy. A WhatsApp link on our website only opens a chat with our number in WhatsApp; when you open it, Meta receives the usual technical data, such as your IP address.

4. Cookies

Our website may use so-called "cookies". Cookies are small text files that are stored on your device. They do not cause any damage and do not contain viruses.

• Essential Cookies: Some cookies are necessary for the website to function properly, e.g. to keep you signed in to your customer account, to remember the language you chose (for one year) and to process online payments.
• Analytics Cookies: Only with your consent do we use Google Analytics (Google LLC) to understand how our website is used. You can give or refuse your consent in the cookie banner and withdraw it at any time.

You can configure your browser to inform you about the setting of cookies, to allow cookies only in individual cases, or to exclude the acceptance of cookies generally. Disabling cookies may limit the functionality of this website.

5. Data Security

We use SSL or TLS encryption for security reasons and to protect the transmission of confidential content, such as orders or inquiries you send to us. You can recognize an encrypted connection by the fact that the address line of the browser changes from "http://" to "https://" and by the lock symbol in your browser line.

6. Sharing Data with Third Parties

We only pass on your data to third parties if this is necessary for the fulfillment of the contract (e.g., to shipping companies or banks/payment processors) or if we are legally obliged to do so.

If we use third-party service providers (e.g., hosting providers, IT support) who process data on our behalf, we ensure that they comply with data protection regulations.

7. Transfers Abroad

Some of these providers are based in the USA. Where personal data is transferred to a country without an adequate level of data protection, we rely on the provider's certification under the Swiss-U.S. and EU-U.S. Data Privacy Framework or on the EU Standard Contractual Clauses.

8. Your Rights

You have the following rights regarding your data:

• Right to information: You can request information about your stored data at any time.
• Right to correction: You can request the correction of incorrect data.
• Right to deletion: You can request the deletion of your data, provided there are no legal retention obligations (e.g., for accounting purposes).
• Right to revocation: You can revoke any consent given for data processing at any time.
• Right to complain: You can lodge a complaint with the Swiss Federal Data Protection and Information Commissioner (FDPIC) or, where the GDPR applies, with a supervisory authority in the EU.

9. Retention

We keep personal data only as long as necessary for the purposes described above or as required by law, e.g. accounting records for ten years.

10. Changes to this Privacy Policy

We reserve the right to adapt this privacy policy so that it always complies with current legal requirements or to implement changes to what we offer in the privacy policy, e.g., when introducing new offers.
